do virus scanners affect PrintBoss

Nancy

Yes, sometimes anti-virus scanners do effect the processing of PrintBoss files. To eliminate the issue you can exclude the entire PrintBoss folder from scanning and you can also exclude the unique PrintBoss file extensions. The extensions are: .pbb, .dbf, .smt. You will want to make the exclusions for the anti-virus scanner on both the server and the local workstations.

Best way to move PrintBoss from one PC to another

Nancy
Administrator
First question to ask is was computer #1 a stand-alone installation of PrintBoss? Or is PrintBoss on a networked server?

If PrintBoss is on a server, instead of reinstalling the program, log in as an administrator on the new workstation, navigate to the PrintBoss folder on the server. Run the PrintBoss setup program, choosing the 'Workstation/printer driver…' option on the first screen. Run the program through taking the defaults to finish then load the PrintBoss printer driver on finish. This will add the PrintBoss printer to the users Microsoft Windows printer list.

If computer #1 was a stand-alone install of the PrintBoss, your best course of action is to copy the entire PrintBoss folder from the old computer to the a new PrintBoss folder on computer #2 and then run the PrintBoss setup program as above. If you cannot do this, your users will have to re-key all banking information and re-create any changes to their PrintBoss forms.

How do I archive documents to PDF files.

Nancy

Archiving a PDF copy of your document with PrintBoss is easily done by setting up an additional copy of your document which will ‘print’ as a PDF copy and be filed automatically anywhere on your system.

There is a Training Note on our webpage that give specific instructions. Please see the following link for details:

How do I order a sig disk

Nancy

First step to ordering a Singnature Disk is to follow the link below and print out the Signature Disk Order form. Complete the form, including ORIGINAL signatures and payment information. Mail the form. Wellspring will return encrypted signature files and media (CD or USB) to use when printing checks.

Here's the link to the Signature Disk Order form.

Here's another link to a document explaining the installation and use of signature disks.

Files in the PrintBoss\Forms folder will not be over-written at the time of a PrintBoss upgrade. Any new files or updated .pbf files will be place in the PrintBoss\Forms\Standard folder.
PrintBoss forms are compatible version to version.

Cannot Open Document Workfile error

Nancy

We have found that this issue can usually be solved by one or both of the following solutions:

1. Exclude the entire PrintBoss folder from the anti-virus scans. Alternatively, you can exclude the following PrintBoss extensions: .smt, .dbf, and .pbb.

2. Check the box labeled ‘Alternate Workfile Delete Method.’ This check box is found on the PrintBoss/ Options/ Configuration/ Legacy tab, in the lower right hand corner in the latest versions of PrintBoss (version 5.64.x).

How does Accpac give instructions to PrintBoss?

Nancy
Administrator
There are three ways for Accpac to give instructions to PrintBoss.
1. PrintBoss Trigger
The PB trigger is designed to communicate specific data elements to PrintBoss. In the most current versions of PrintBoss there are seven specific data elements. They are:

1. Form
2. Bank
3. Document Number
4. Document Amount
5. Document Recipient
6. Miscellaneous1
7. Miscellaneous2

When PrintBoss processes the trigger it recognizes and uses the data elements in the trigger as the above variables in the order received, i.e. form is always first, bank is always second, etc. You cannot add additional elements to the PB trigger. To get around that there are two additional ways to communicate data to PB.

2. PB#Assign
PrintBoss command lines (#Assign) can be added to the header of your document. Just like the Print Boss trigger, these two lines will be evaluated by PrintBoss as it processes, and then strip them from the report so that they are not visible on the printed document. These commands will assign specific data to variables without having to first place the data on the Crystal report, capture it and then assign it to a variable. You can have multiple PB#Assign commands on your Crystal report.

3. Capture/Assign
In this method PrintBoss takes data printed on your Crystal report and based on its coordinates, assigns a variable for use on the PrintBoss printed page.

Note:
You must use the specific variable name if you want to use the standard PrintBoss variables. For example, {DocAmnt}, {DocNo}, {DocMisc}. A list of the standard variables available for a form can be viewed while editing the form. Open PrintBoss. Go to Edit, Form Files, View, then right click and choose Display Assignments.

Please see the document 'Capturing and Assigning Text' on our website for additional information. Here's a link:

Accidentally deleted signature from the form

Depending on a company's installation of PrintBoss, there are different ways to setup signature printing. Based what you have said, try this: Open your PrintBoss form and add the variable {BSigFile} to your signature script. This will pull your signature from the Bank Account if it is present. For example:
#Pic 4.7, 9.8, "{BSigFile}", /MIR,,DEFGHA

Dear Sir or Madam,
My client, has a user that when they print checks from Accpac, PrintBoss does not pop up automatically. She has to manually open Print Boss before it will print. How do I fix this?

If the client is using the PrintBoss NT40 driver, run the setup program to reload the driver. This action will reactivate the PB32Stub program as an automatic process.

Multiple Signature Printing Issues

Nancy

The first thing we'd want to check is to see if the amount of the check is being captured properly. Depending on the accounting software you are using, the amount of the check is captured and assigned to a variable called {DocAmnt}. The value for {DocAmnt} is then posted in the workfile view of your check run. Open up PrintBoss and then go to File/Open Document Workfile. You should see the amount of the check listed. Is the amount correct?

If it is not correct, it most likely means that the capture area for {DocAmnt} needs to be adjusted. You can do this by viewing the form and right-click to View the Raw Capture. Double-click on the amount of the check. The Object Properties box will open up and you can adjust the capture coordinates here if necessary.

Windows 7

Yes, PrintBoss is compatible with Windows 7 machines. There is however a problem with the PrintBoss 50 printer driver dated 2/18/2010 which is used with Windows 7 and Vista PCs. There is a fix for that driver dated 2/24/2010.

If you have installed the 2/18/2010 driver perform the following steps:
1. Delete the printer driver from the Windows printer list;
2. Reboot the machine;
3. Update PrintBoss and the new driver will install automatically.

To determine what version of the PrintBoss driver you have installed, open PrintBoss to the Master Application and choose Help/About. The drivers are listed under 'Version Info.' The PrintBoss 50 driver is PB50ui.dll.

You also asked specifically about how to set up Accpac 5.6 for emailing. We are in the process of updating our Crystal reports so that the an email address will show up on the trigger line. We will email you the finished form for AR Invoices.

When you receive it you will need to do two things.
1. Open Crystal to edit the formula called PrintBossMisc2 to reference the field that holds the email address. Currently it references EMAIL1 from the customer record.

2. Add the following line in the top of Footer Objects section of your PrintBoss form: #Assign EmailTo, "{DocMisc2}"

Click Emailing with Sage Accpac for additional information.

Length of Evaluation Period

Nancy
Administrator
The evaluation period for a demonstration copy of PrintBoss is 30 days.

PrintBoss is licensed for a single installation. All users should connect to the same installed copy of the software. Any number of individual users can access the software, as long as there is a single installation of PrintBoss shared by all users.

We do have facility to change the name on the licensed software. We require that you provide us with documentation of the change in business name. You would also be required to have a current Software Support Contract for the PrintBoss software as the name change could only happen during an upgrade.

MICR position

Nancy
Administrator
The format of the MICR line must conform to the standards set by ANSI specifications. The MICR line is contained within the clear band area, which is located at the bottom of the check. By ANSI standards, the minimum size of the clear band is defined as the bottom 5/8 inch/16 mm of the check document. The clear band must not contain any magnetic material other than MICR characters. Because the entire document printed uses the magnetic dry ink, make sure that no marks of any kind (cut lines, signature letters, etc.), other than the MICR line font characters, are printed in the clear band on either side of the paper. All MICR characters must be in a single line within the clear band.

In accordance with ANSI standards, the MICR line must be positioned as follows.
• Between 3/16 inch/4.8 mm and 7/16 inch/11.1 mm from the bottom edge of the check
• 5/16 inch/7.9 mm from the right edge of the check, ± 1/16 inch/1.6 mm
• Minimum of 1/8 inch/3.2 mm from the left edge of the check

That said, your PrintBoss software does have a Utility that will automatically make adjustments to the placement of your MICR line. The utility is found under the Options\Configuration tab.

From the Configuration tab, click on the MICR Adjust Wizard button. There are two methods available to adjust the location of the MICR. The first method does not require a preprinted symbol on the back of the check. The second method does use a pre-printed mark. Follow the Steps for the selected method to satisfactorily adjust the placement of the MICR. Click on Finish to exit the Wizard. Upon completion, the MICR Offset Adjustment values will be modified.

The adjustments are workstation and printer specific.
